Visitors to our website

Cookies
When someone visits uklifeinsurance.co.uk we use site analytic tools provided by companies such as Google, to collect standard internet log information and details of visitor behaviour patterns that are collected through ‘cookies’. We do this to find out things such as the number of visitors to the site and its various pages, browsing habits, where you visited before you reached our website and the frequency that people return to the site. Sometimes third-party advertisers’ tools consist of cookies that are placed onto our website to track visitors and these cookies are used to deliver advertising relevant to you. They also limit the number of times that you see an advert and help us measure the effectiveness of online advertising campaigns. Further to this we use technology provided by Hotjar to help us better understand our website users experience (e.g. how much time is spent on which pages, which links are clicked, what users appear to like or do not like). This enables us to build and maintain our service with user feedback.

This information is only processed in a way which does not identify anyone at an individual level. We do not make, and do not allow Google, Hotjar or any third-party to make, any attempt to analyse this data at a personal level and data collected is captured and stored in anonymised form. The information we gather from cookies will be stored and used for statistical analysis purposes to help us make informed decisions about how to improve our online advertising and website content or functioning for returning and future visitors.

Customers who use our services 

Why we collect your personal information
We use your information quite simply at your request to deal with your enquiry and to provide you with a quotation. If you provide personal information about someone else, for example if an enquiry is made for yourself and a partner, you must do so with the permission of the other person. The personal information about the other person will be used in the ways as described in this privacy notice.

You don’t have to give us any of your personal information, but if we are collecting your data to fulfil our contract with you and it’s necessary to enter into a contract, we will be unable to provide our services if you choose not to provide your information. 

• If you make an enquiry or ask for a quote, either through our website or over the phone, these details will be used to contact you to help you with your enquiry and to get you a quote.  We are using these details at your request, as a first step prior to entering into a contract with you.
• If you call us to get a quote over the phone, please be aware that all telephone calls to and from our business are recorded. In addition to audio recordings, calls are also transcribed using an approved third-party processor. The transcript is used for the same purposes as the recording. Because we introduce you to a FCA-authorised broker, they are subject to legal and regulatory obligations to maintain appropriate and accurate records of business transactions and customer interactions. Call recordings and transcripts help us comply and meet these obligations. They help us ensure that we, and anyone we introduce you to are acting in your best interests, providing appropriate advice, treating you fairly and that insurance providers and the Financial Conduct Authority (FCA), where appropriate, can establish that products are being sold appropriately and that applicable rules and standards are being followed. Call recordings and transcripts are also necessary for insurance purposes to help resolve matters in the event of queries, complaints, claims or disputes and to assist with the prevention, detection and investigation of fraud, dishonesty or other unlawful acts – protecting the interests of honest customers, the public, our business and insurance providers. We process your personal data in this way where it is necessary to comply with our own, and the businesses we work with, legal and regulatory obligations – and because it is in our legitimate interests, and those of insurance providers, to maintain accurate records of our business transactions, monitor and improve the quality and compliance of our services, investigate and resolve disputes and protect against fraud and other unlawful activity. These constitute our lawful bases for processing you personal data under UK GDPR.
  

• To provide you with a quote we will securely pass your personal details to an FCA authorised broker, Essential Finance Group (UK) Limited, we do this to fulfil our contract with you.

Please note: If you decide to progress with an application for life insurance through a relevant and associated third party, the information you have provided to us, together with any further information requested by them and supplied by you, will be held by them for the purposes set out in their privacy notice. 

• We may also use your data, such as your email address or phone number, with Google’s Customer Match to deliver relevant marketing across Google services, including Search, YouTube, and Gmail. This involves securely matching limited customer details, which are encrypted and never shared, to show personalised ads where applicable. Your information remains protected in line with this privacy policy notice and you can adjust your ad settings directly in your Google account by visiting ‘Google Ad Settings’ to opt out of personalised ads.

• If you or a third-party authority makes a complaint about us or if we are legally obligated, we will use your personal information to investigate the complaint or comply with our legal obligations. We are contractually obligated to deal with your complaint appropriately.

• We strive to put our customers first and at the heart of everything we do, so as you might reasonably expect, finding out whether you are satisfied with the level of service we provide, and whether we’re achieving the right outcomes for our customers is very important to us. That’s why we use your contact details, provided to us during the process of providing our services to you, to gather feedback from you. We use a third-party independent specialist to collect reviews from our customers in our own legitimate interests and so we have quality management information and reports that provide comprehensive and balanced insight to help us identify problems and get the information we need to help us to improve our services.

• Your personal information is also further used for statistical analysis purposes. For example, we will exchange information with Essential Finance Group (UK) Limited to see whether you took out a policy or not. Plus, we will share management reports and forecasting internally with the broker for whom we are acting as an intermediary. We do this to help us develop our business, assess our performance and plan for the future. 

Sharing your information
We will not share, sell, loan or lease your personal information to any other third party except those relevant, or needed, to provide the products or services you have requested – your information is passed securely to the following categories of companies:

• Data validation and communication providers – companies who validate contact details and manage our phone systems and the distribution of post, email and text messages who need access to your personal information to provide elements of our service. 
• IT service providers – we use developers who provide technology platforms, systems or other IT services that may have access to your personal information. However, we have strict access controls in place and only those contractors that need access to your data to provide their services will be authorised. 
• FCA authorised broker, namely Essential Finance Group (UK) Limited – we are an intermediary and we help you get a quote by passing the details of your enquiry to an expert who will provide an accurate quote based on your needs. 
• Related companies – when we use your information for administrative, management forecasting and planning and statistical purposes we may share data reports with other businesses that are related through Essential Finance Group Management Limited. We may also receive information relating to products purchased following initial use of our service to assist with sales tracking.
  
• Feedback and review specialists – we will share your contact details with reviews.co.uk, so they can independently gather feedback from you about our services.

If the company receiving your personal information is processing the data to provide elements of our service for us, such as online advertisers, website or phone technology suppliers, or review specialists, we have a contract in place with them to ensure that they cannot do anything with your personal information, unless we instruct them to. They will not share your personal information with any other organisation without our authorisation, they will hold it securely and they must comply with their data protection obligations.

We do not routinely transfer personal information outside of the UK or European Economic Area (EEA) where transfer of data is not restricted, and additional safeguards are not required to protect your data. However, a product or service may be administered from a country outside Europe. Any personal data received from companies transferring from the EEA must comply with EU data protection laws, and we will only transfer personal data outside of the EEA if the organisation receiving your personal data has provided adequate safeguards and your rights under UK General Data Protection Regulation are enforceable.

Keeping your information

We’ll hold on to your information for at least as long as is needed to be able to provide our services to you. After this point we review the data that we hold to decide whether we need to keep hold of your information any longer, for example to deal with a complaint or for any legal reasons that may arise from a complaint being made. 

We may also hold your information for administrative, management forecasting and planning and statistical purposes, in which case, we will limit what we keep where possible to minimise risk and safeguard personal information.

To explain further, for new enquiries (however we receive them), personal information is processed immediately and retained for up to twelve months. If the enquiry does not progress further at the point where twelve months has lapsed, then the data is permanently deleted from our uklifeinsurance servers and all back-ups.

Your rights

You have a lot of rights relating to your personal information:

• The right to be informed about how we use your personal information (that’s why we have produced this notice)
• The right to ask for confirmation of and access to the personal information we hold about you
• The right to ask us to amend your information if it is inaccurate or incomplete

• The right to request that we delete your information, or stop using it in some circumstances

We use cookies when you visit our site. Cookies can be temporary or permanent. It saves whether a user has dismissed the notice to prevent it re-appearing on the re-visit to the website and lasts up to a year. We also set a cookie called ukl_focus, it’s what is called a session cookie and is temporary. This cookie allows us to recognise visitors that have already made an enquiry and so we can prevent duplicate enquiry forms from being submitted and helps us present a pop-up message to help you navigate back to the enquiry page. This cookie is essential for you to browse the website and use its features, such as making an enquiry via the site and allows us to measure and analyse how people use our site and so we can improve functionality and your experience.
   
2. Third-party cookies – these are the cookies that are placed on your device, not by us, the owners of the website you are visiting, but by a third party like an advertiser or an analytic system such as Google. Third-party cookies originate from a domain that’s different to the website being visited, however some cookie-based technology providers do create and set these cookies via a script that is executed from the host domain, which makes them first-party cookies. Yet, for transparency and clarity we have named these third parties, as it is they that generates the script to enable this to be done. Thereby, companies with a different domain name place cookies on our website, to assist with our website security or marketing and to help us optimise this service and experience.
